The position of executive assistant requires a reliable, professional, focused individual with excellent organizational skills, a strong sense of responsibility and a solid ability to prioritize.
Primary Duties and Responsibilities:
- Maintain schedules and managing calendars in a Microsoft Outlook environment
- Maintain and update Outlook Contact database
- Manage travel arrangements
- Schedule conference/meeting rooms - Handle sensitive and/or confidential material and information   appropriately

- Communicate with current & prospective clients, insurance companies, management, and staff

- Prepare reports, memos, letters and other documents

- Perform personal errands

- Perform other duties and projects as assigned

Primary Duties and Responsibilities:

Provide strategic administrative and project management support to CEO

Help keep the CEO organized, making sure they are where they need to be, anticipating their needs, and reducing their cognitive load wherever possible.

Handle complex calendars and schedule internal and external meetings while anticipating conflicts and solving scheduling issues.

Must be extremely adaptable to the ever-changing needs of a fast-paced CEO

Ability to work flexibly in terms of responsibilities and responsiveness.

Take minutes for multiple meetings.

Ability to handle sensitive and/or confidential material and information appropriately

Communicate with current & prospective clients, insurance companies, management, staff and vendors

Accurately post accounts payable

Requirements

Minimum of 5+ years of recent administrative support supporting high level senior executives (within last 3-5 years) or equivalent.

Successful history of managing the calendar, office, and travel of one or more senior executives.

Write succinctly and communicate effectively on paper and in-person in a professional, yet friendly, manner.

Must be highly organized, efficient, and demonstrate superior attention to detail.

Strong knowledge of Microsoft Office

Exceptional communication and interpersonal skills.

Quick learner have a knack for technology and processes. Be able to figure out new systems and adapt on the go.

Problem solver actively be able to find creative solutions efficiently and correctly.

Trustworthy must have impeccable discretion with sensitive company and personal information.

Must have reliable transportation.

Excellent penmanship.
