Position Summary:

Works in collaboration and in continuous partnership with OCMG to support and monitor the ongoing efforts to provide high quality care for patients. Serves as a representative to patients, utilizing professional customer service skills. Works closely with physicians, managers and office staff in coordinating patient care. Maintains the strictest confidentiality and adheres to all HIPAA guidelines and regulations.

The float position is required to work different roles within Centralized Services as needed.

Position Responsibilities:

  • Effective use of both EPM and EHR system applications
  • Consistently uses standardized work protocols to provide efficient and effective productivity.
  • Keeps updated on current provider onboarding and terminations.
  • Appropriately facilitates and communicates, written or verbal messages.
  • Ensure effective communication with key external customers including providers, practice managers, and staff.
  • Ensures all work is being performed according to company policies, procedures, and standards.
  • Ensures department productivity standards are met.
  • Participates in a variety of department initiatives.
  • Assist in training new employees and serve as a resource to them.
  • Ensures all OSHA, HIPAA and other regulations are followed.
  • Follows proper reporting protocols for any compliance or incident reporting as needed.

  • Auto Fax filing by chart category and physician rendering into the Electronic Medical Record.
  • Identify medical reports and file according to category.
  • Receive, organize and manage Protected Health Information (PHI).
  • Verifies both medical records/reports have been signed off by provider.
  • Maintain effective and organized system to ensure timely management of ICS batches and workload.
  • Use Document Management software to scan and file records by category.
  • Maintain effective and organized system to ensure timely management of medical records requests and workload.
  • Maintain all logs and required audit checks.


Conducts a detailed eligibility verification of insurance benefits.

Determine coverage, service level co-pays, deductibles and outstanding balances.

Identify potential insurance issues and resolve issues as necessary.

Accurately document and maintain insurance and patient demographic information in practice management system.

Patient Services:

Answers, screen, processes, and documents incoming calls efficiently and professionally.

Assists patients by determining needs, scheduling and/or canceling appointments, or referring them to the correct staff.

Verifies insurance eligibility updating information as needed.

Appropriately facilitates and communicates, written or verbal messages.

Education Requisites:

High school diploma or GED equivalent

Must hold and maintain a current/valid California driver's license


  • 1 2 years related experience in a medical office/ clinic setting; OR equivalent combination of education and experience
  • 1 year experience in patient scheduling and registration

1 year experience in Customer Service setting

  • Proficient in Practice Management System
  • Knowledge of Insurance Plans and IPA's

Knowledge of navigating Health Plan Websites

  • Knowledge of Medical Notice of Privacy Practices and the Health Insurance and Accountability Act (HIPAA)
  • Knowledge of navigating Windows Explorer and file management
  • Familiarity with Adobe PDF files

Working Conditions:

  • Staff may be exposed to communicable diseases and appropriate safety precautions may be required
  • Subject to the hazards of radiation, women who become pregnant must report their condition promptly to practice manager
  • Work involves considerable sitting, standing, walking, bending, cleaning, organizing, and lifting on a daily basis
  • Local travel required, as well as possible extended travel.
