Description

The Business Operations Manager position is an expert resource to assigned client teams and their respective Business Operations Manager(s) in evaluating and enhancing daily medical billing and office activities. Business Operations Manager's frequently collaborate with internal stakeholders, including Client Service leaders such as Client Liaisons, ARVPs, RVPs, etc. to address client requests and operational needs. This position is responsible for strategically implementing and/or driving those billing-focused procedural and operational requests to fruition.

Supervisory Responsibilities:

  • Arrange work, assign tasks and define responsibilities
  • Issue orders and instructions and explain management plans
  • Establish methods and procedures and enforce rules and regulations
  • Maintain teamwork and discipline
  • Monitor employee productivity through work trackers, and provide feedback, education and coaching

Duties/Responsibilities:

  1. Operational Strategy:
  • Identify billing and operational trends and implement strategies to improve efficiency, productivity, and profitability of clients
  • Collaborate with management to establish goals and objectives that align with the company's mission and vision
  • Ensure RCM tasks are completed timely, thoroughly and consistently by assigned designated staff

Process Optimization:

  • Identify operational bottlenecks and inefficiencies; implement solutions to streamline processes and enhance operational effectiveness

Continuously evaluate existing processes and systems to drive improvements and standardization

Team Leadership:

  • Lead and motivate a team of billing professionals, to include both internal and external teams, providing guidance coaching, and mentorship to foster a culture of high performance and continuous improvement
  • Delegate tasks and responsibilities to ensure optimal resource utilization and operational efficiency
  • Maintain attendance and punctuality information for employees in your department
  • Identify and develop employee talent; complete employee performance evaluations

Cross-functional Collaboration:

  • Foster effective communication and collaboration between teams to ensure alignment and synergy across the organization
  • Ensure consistent and timely communication, auditing, education and feedback is provided to Outsourcing partners and vendors
  • Look for ways to support outside departments and their expertise, to improve medical billing and office operations

Performance Monitoring and Reporting:

  • Monitor key performance indicators (KPIs) and operational metrics; analyze trends and performance data to make data-driven decisions
  • Prepare regular reports and presentations for senior management, highlighting achievements, challenges, and recommendations for improvement
  • Proactively communicate areas of concern to senior leadership

Risk Management and Compliance:

  • Identify and mitigate operational risks; implement strategies to ensure compliance with regulatory requirements and industry standards
  • Implement and maintain effective internal controls to safeguard company assets and mitigate financial and operational risks

Project Management:

  • Ensure projects are delivered on time, within scope, and within budget while meeting quality standards
  1. Miscellaneous
    • Interact with hospital staff when necessary to gather or clarify information pertaining to that client
    • Recognize and respect the confidential nature of the information processed
    • Perform other job-related duties as required

Required Skills/Abilities:

  • Excellent verbal and written communication skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Excellent organizational skills and attention to detail

Education and Experience:

  • High School diplomas or equivalent
  • Minimum 3 years of related billing experience OR 1 year in Billing Supervisor or similar role
  • Supervisory experience required
  • Expert knowledge of CPT/ICD-10 codes
  • Must have experience leading medical billing activities
